Q. How do I complete a rollover / I need help with my school rollover.
A. To carry out a rollover, you’ll need access to the administrator account. Please note that only the subscription coordinator with administrator access can do this. If you’re unsure who your subscription coordinator is, or if you need administrator access to manage rollover, please contact our customer support team at customerservice@3plearning.com.au. We’d be happy to assist you.
Please note that you only need to complete the rollover once for ALL products your school uses.

2) Have our team complete the rollover for you
If you prefer, you can send the completed spreadsheet to us, and we’ll take care of the rest for you.
Complete Your Rollover Spreadsheet
Option 1: Download a Blank Rollover Spreadsheet from 3Essentials
- Make sure you are logged in with administrator access.
- In the left menu, go to Manage > Classes.
- Click the Start Rollover button located in the top‑right corner of the page.
- Click Download Template to download a blank rollover spreadsheet.

Option 2: Export Your Current School Roll from 3Essentials
- Make sure you are logged in with administrator access.
- In the left menu, go to Manage > Classes.

Click the Export All button located in the top‑right corner of the page
A spreadsheet containing your current students, teachers, and class information will download. - Update this file with your new year’s data.
For data security purposes, once you've completed the spreadsheet, please encrypt the file with a password before sending it back. Follow these steps:
- Go to the File tab and select Info from the left menu.
- Click the Protect Workbook box and choose Encrypt with Password.
- Enter a password, then select OK.
- Re‑enter the same password to confirm, then select OK again.
- Save the file to apply the password.
Once the file is encrypted, kindly return it to us and send the password in a separate email to rollover@3plearning.com.
We’ll confirm with you as soon as the rollover has been completed.
Q. Where do I download a rollover spreadsheet or my student data spreadsheet?
A. Option 1: Download a Blank Rollover Spreadsheet from 3Essentials
- Make sure you are logged in with administrator access.
- In the left menu, go to Manage > Classes.
- Click the Start Rollover button located in the top‑right corner of the page.
- Click Download Template to download a blank rollover spreadsheet.

Q. I cannot login
A. Please use your email address as your login username. You can also try to reset your password by selecting the “Forgotten Password” option on the sign‑in page. If the reset email doesn’t appear in your inbox, please check your junk or spam folder.
If you’ve already tried these steps and the issue persists, please email us at customerservice@3plearning.com.au with your name, email address, your school’s name, and any error message you’re receiving. A member of our team will be happy to assist you further.
Q. My password is not working.
A. You can request to reset a password by clicking on the “Forgotten Password” option at the sign in/ log in page. If it’s not in your inbox, please check your junk folder as well.
If you’ve already reset your password and still unable to access, please email us at customerservice@3plearning.com.au with your name, email address, your school’s name, and any error message you’re receiving. A member of our team will be happy to assist you further.
Q. Where do I find the student login cards/ usernames/passwords/ QR codes?
A. To access student login cards after processing your rollover, please follow these steps:
- Log in as teacher or subscription coordinator.
- Click on Students from the left-hand navigation panel
- Click on the dropdown next to All Students
- Choose Assigned Students (to print all student logins at school) OR search the class you wish to print logins for
- Tick the checkbox next to the student/s you wish to print sign in cards for.
- Click Print Logins at the top of the page
Alternatively, if you want the sign‑in cards sorted and grouped by class for easier distribution, admins or teachers can print them through Manage > Classes.
- Log in as teacher or subscription coordinator.
- Select Classes under Manage on the left-hand side menu.
- Select the class you wish to print sign in cards for.
- Click Print logins.
Q. I cannot add a teacher, it says “email has been taken”
A. This usually happens when the email address is already linked to another account. Please email us at customerservice@3plearning.com.au with the teacher’s name and email address, along with your school’s name, and one of our team will be happy to sort this out for you.
Q. Do I have to include the “external ids” for the students?
A. It is not compulsory to complete the External IDs column on the template. However, please do not delete this column, and simply leave it blank if you are not using it, as removing it can cause errors during the upload.
Although it’s not mandatory, we strongly encourage schools to include External IDs wherever possible. Adding them now will make it much easier to match students accurately in future rollovers, helping to streamline the process year after year.
Q. I need to assign/change a new admin on our school account / I need administrator access so I can rollover our school.
A. This is something you won’t be able to do yourself, but our Customer Service team can help. Please email us at customerservice@3plearning.com.au with the name and email address of the teacher you’d like to add as a new admin on your school’s account, along with the programs they’ll be managing, and one of our team will take care of this for you.
Q. Can I assign more than one teacher to a class/add a new teacher to the school?
A. If you would like to add a second teacher to an existing class, and that teacher already exists in the school’s roster, please follow these steps:
- Log in as Subscription Coordinator.
- In the left-hand menu, under Manage, select Classes.
- Click Edit next to the relevant class.
- In the Teachers section, select one or more teachers from the dropdown list.

If you need to first add a new teacher to your school’s roster, please follow these steps:
- Log in as Subscription Coordinator
- In the left-hand menu, under Manage, select Teachers
- Click Create Single Teacher
- Enter First/Second Names and email address
- Click Create.
Q. How do I remove/delete students who are no longer at our school?
A. To delete/remove students who are no longer at your school, please follow these steps:
- Log into your Admin account
- Click on Students in the left-hand navigation panel
- Click the All Students dropdown and click Unassigned Students
- Select All
- Click More Actions
- Click Delete Student Accounts

Enter the number of students to be deleted, then click Delete
Q. I am getting a spreadsheet error
A. I am sorry to hear you are having issues uploading your Rollover spreadsheet. Please look at the troubleshooting tips below. IF all tips have been applied to your spreadsheet and you still receive an error, then please forward your file to our team, at rollover@3plearning.com, and one of our team members is happy to take care of the upload for you.
- Make sure all columns are included (A-J) and none are deleted
- Ensure all mandatory fields are filled out
- In Column D (Student Year) ensure only numbers are used, and no letters (for example: “1” and NOT “grade 1”)
- In Column G (Subscriptions) ensure you choose from the dropdown list and do not write in the cells (for example: “mathletics” and NOT “Mathletics”)
Important Note: For data security purposes, we ask that you encrypt the spreadsheet file with a password before sending. I have provided you with instructions on how to do this below:
- Select File > Info.
- Select the Protect Workbook box and choose Encrypt with Password.
- Enter a password in the Password box, and then select OK.
- Confirm the password in the Re-enter Password box, and then select OK.
Please send the password in a separate email to rollover@3plearning.com as well.
Q. I can still see my old classes showing after rollover / How can I delete classes from last year?
A. The final step in the rollover process is to “delete last year’s classes”. If you missed this step, it is easy to still remove them, by following these steps:
- Click the Date Created column once to sort by oldest, then select all classes from the previous academic year. Alternatively, click on the All Creation Date dropdown and untick the most recent month (with current year 2026) so only last year’s classes are displayed.
- Select All (double check the classes are all from previous academic year)
- Click Delete.
- In the pop-up window, click Delete to confirm
Q. I need my teacher account transferred to my new school
A. This is something you won’t be able to do yourself, but our Customer Service team can help. Please email us at customerservice@3plearning.com.au with you name, email address, along with your new school’s name, and one of our team will be happy to sort this out for you.
Q. Can you send me my students’ login QR codes?
A. To ensure student privacy and maintain security, we do not send login details via email. Instead, we kindly ask schools to print student login cards directly from the 3 Essentials (3E) dashboard.
How to Print Student Login Cards
- Log into your teacher or administrator account to access the 3E dashboard.
- From the left-hand navigation menu, select Classes under the Manage section.
- Tick the checkbox next to the class you wish to print login cards for or select All to print for all classes.
- Click the Print Logins button at the top of the page.
Q. Can I edit student’s password?
A. Here’s how you can edit student’s details including password:
How to edit student details in dashboard (individually)
- Log in to your teacher or administrator account.
- From the left-hand menu, select Students (or Pupils) under Manage.
- Locate the student, then click the Edit button on the far right.
- Change the relevant details (name, password etc.).
- Click Update to save the changes.
How to edit student password in bulk (only for admins)
- Log in to your administrator account.
- From the left-hand menu, select Students (or Pupils) under Manage.
- Click the All students dropdown and select Assigned students.
- Select All.
- Open More Actions dropdown, then select Change student passwords.
- Enter the password.
- Click Update.
